How and when to deposit official NWACC Publications with the Arkansas State Library

Arkansas State Library Document Submission Guidelines

Digital Publications

When documents are published and distributed exclusively in digital format, then the Arkansas State Library should receive:

A copy of the digital file
The URL where the document is published
 

All electronic files may be submitted to the library via email to aslib-govdocs@ade.arkansas.gov 

Publications in Print and Digital Format

When documents are published and distributed in both print and digital formats, then the Arkansas State Library should receive:

  • A copy of the digital file
  • The URL where the document is published
  • At least 4 copies of the print version

Publications in Print Format

When documents are published and distributed exclusively in print format, the number of copies needed by the Arkansas State Library varies depending on the publication type submitted.

For documents published and distributed exclusively in print format, review the following guidelines to determine how many copies to deposit with ASL:

Gathering Publications

Divide your agency’s publishing activities into broad categories:
  • Administrative – Annual/biennial reports, financial reports, board meeting minutes, operating budgets, state/strategic plans
  • General Information – newsletters, catalogs, magazines, directories
  • Special Interest Publications – research reports, guides/handbooks, manuals, maps, statistical compilations
Develop personal contacts  
Establish a routine for collecting publications from these contacts. Monthly submissions are suggested.
Raise awareness of the program among your colleagues so they know to provide their publications to you
